Virtual Assistant / Member Success Assistant
The Professional Builder
Virtual Assistant / Member Success Assistant
Location: Fully Remote | Full-Time | Must be willing and able to work ANZ time zones
Be the Organised Force Behind a Global Coaching Team
The Professional Builder helps residential builders and general contractors build better, more profitable businesses through coaching, systems, accountability, and implementation support.
We support members across Australia, New Zealand, North America, and other international markets, and we are proud to be a 2025 NZ Best Places to Work Finalist.
We are not a typical corporate company, and this is not a typical admin role.
We are looking for a sharp, reliable, detail-focused Virtual Assistant / Member Success Assistant to support our Delivery and Member Success team. This role is perfect for someone who loves keeping things organised, making people's lives easier, improving systems, and making sure important details do not get missed.
You will work behind the scenes to help coaches, members, workshops, calls, follow-ups, and internal processes run smoothly.
What This Role Could Do For You
- This is a role where you can build serious operational confidence while working inside a fast-growing global coaching company.
- You will learn how a high-performance coaching and member success team operates, how member journeys are managed, how systems and SOPs support scale, and how strong admin support can directly improve the experience people have with a business.
- You will not just be given random tasks. You will be trusted with important details, encouraged to think ahead, and supported to grow your ownership over time.
- For the right person, this is a long-term opportunity to become a key part of the team -- someone people rely on because they are organised, calm under pressure, proactive, and consistent.
What You'll Be Doing
You will help keep the Delivery and Member Success team organised, prepared, and moving.
That means:
- Supporting coaches with day-to-day admin and member success tasks
- Sending session notes, reminders, resources, and follow-ups on time
- Helping onboard members and making sure they know where to find key tools and resources
- Tracking member engagement, workshop attendance, renewals, and key updates
- Keeping reports, dashboards, folders, and internal documentation organised
- Following SOPs carefully and suggesting improvements when something is not working
- Communicating clearly with coaches, members, and internal team members
- Helping ensure workshops, calls, and member touchpoints run smoothly
Your work will help members feel supported and help the team stay focused, organised, and prepared.
Who We're Looking For
You may come from a VA, admin, customer support, member success, operations support, executive assistant, or coordination background.
You will likely thrive here if you:
- Have strong written and verbal English skills
- Are highly organised and detail-oriented
- Follow through without needing to be chased
- Are punctual, reliable, and consistent
- Can work independently in a fast-paced remote environment
- Are comfortable following SOPs and improving systems when needed
- Are resourceful, proactive, and willing to speak up with ideas
- Can handle multiple moving pieces without dropping the ball
- Are comfortable using tools such as Google Workspace, Slack, Zoom, CRM systems, spreadsheets, and task management platforms
We are looking for someone who wants more than basic task completion. We want someone who takes pride in being dependable, thinks one step ahead, and genuinely enjoys making things run better.

- No corporate fluff. No hiding in the background. No "that's not my job" attitude.
- Just a sharp, ambitious team helping builders get better results -- and looking for people who want to grow with us.
